Welcome
February 2025 saw the release of the new Invoice Approval Workflows engine, a large investment in terms of engineering work, in the pursuit of a more performant and scalable Invoice Approval Workflow feature. Additionally, we deployed a number of new features and enhancements across our product suite.

New Invoice Approval Workflows
We have re-engineered our Invoice Approval Workflow engine so that it is more performant, more scalable, and more intelligently routes Flagged Invoices to the correct people for review.
New Invoice Approval Workflows are based on Ranks, as opposed to the Legacy ‘Operational and Financial’ Approver Roles. Ranks have a Maximum Value (e.g. ‘$1000’), are ordered by value (ascending), and Approvers are added to one or more Ranks.

Once the Workflow Ranks are configured, the Workflow can be assigned to an Organisation or Organisation Unit.
Any Invoice that is coded to the Organisation or Organisation Unit, if it becomes Flagged for any reason, will be placed into the assigned Workflow. Approvers will be notified by email, and they can begin Approving according to the Workflow’s configuration.

If the Flagged Invoice’s value is, for example, $4000, then:
- Approvers in Ranks with a Rank Maximum Value of less than $4000 can Approve the Invoice, and then Approvers in the next Ranks will be notified to provide their Approval.
- ‘Final Approval’ is granted by a user in a Rank where the Rank Maximum Value is greater than $4000. Once a Flagged Invoice has Final Approval, it will be automatically Reconciled, and it is able to be exported to your external AP System for payment.
Importantly, New Invoice Approval Workflows cannot work in the same Organisation (or Organisation Unit) as Legacy Approval Workflows.

Catalogs and Products
- There is a new [Catalogs] tab when viewing a Product as a Supplier or Purchaser,
- You can add the Product to a Catalog from within the new Catalogs Tab when viewing a Product:

- There is now an Advanced Search option for 'External ID' when viewing My Products (as a Supplier),
- There is now a Purchasers column for a Supplier when viewing All Catalogs. Clicking on the [View] button will display a list of Purchasers to whom the Catalog is assigned:

AI Scanning Improvements
There are new Document Number, From Email Address and To Email Address columns in the AI Scanning Inbox.
Inventory Transfer Enhancements
When you are viewing a Transfer in an Open State (e.g. when initially creating the Transfer, or reviewing the Transfer prior to Completion), you will be able to see every Stock Item available in the Origin Location, in case you would like to add it to the Transfer.
Occasionally, you may wish to hide the Stock Items with a Zero Quantity on a Transfer, to only view the items being Transferred. You can use the new [Hide Zero Quantity Items] checkbox to achieve this:

Organisation Settings
There is a new Delivery Addresses tab in Organisation Settings, where you can View, Create and Update Delivery Addresses as required. These Delivery Addresses will be available to be selected by users as part of the Requisition process.
Additionally, there are now more Settings on the General Tab of Organisation Settings, including:
- Accounts Email Address,
- PO Copy Email Address,
- Time Zone,
- Confirmation Instructions,
- Delivery Instructions,
- Terms and Conditions.

Point of Sale Improvements
- There is a new errors column on an Open Batch Sale,
- You can now delete lines within an Open Batch Sale.
