March 2025 Monthly Wrap-Up
Published April 1st, 2025

Harry Balding, PurchasePlus Platform Expert
Welcome
This month, we’re introducing several powerful updates designed to enhance procurement efficiency, improve data accuracy, and streamline inventory management. From improved AI-powered invoice processing to new tools for managing stock transfers and product data, these enhancements will help you work smarter and with greater control over your purchasing and inventory processes.
Key highlights include a
Transfer Log for better stock movement tracking,
AI Scanning Enhancements to ensure more accurate invoice processing, and a new
Inception Type field to provide visibility into how products are created in the system. Additionally, we’ve made it easier to manage ingredients within recipes and introduced new options for creating transfers directly from stock locations.
Please read below to learn about the new features that you can use in
PurchasePlus.
Inventory: Transfer Logs
Inventory Module users only. There is now a Transfer Log on a Stock Item within a Stock Location, which details the quantity and value changes resulting from a Stock Item moving in and out of the Stock Location.
To view a Transfer Log, first navigate to a Stock Location, and click
[View Transfer Log] in the
[More] menu next to any Stock Item:

Clicking [View Transfer Log] will display a window whereby you can view the Transfers that implicate this Stock Item in this particular Stock Location, the Inbound, Outbound and Balance Quantities, the Unit and Balance Values, as well as any comments left on the Transfer:

Please Note: Transfer Logs are specific to a Stock Item
within a Stock Location - i.e. you cannot view a Transfer Log on a Stock Item in all of your Stock Locations in a single view.

When our
AI Scanning Service receives an Invoice or Credit Note, it extracts the data from the document and attempts to ‘match’ the Product on each line with an existing Product in our system. However, sometimes no match can be found, and so the AI Scanning Service creates a new product:

This month, we have released an update whereby when the AI Scanning service needs to create a new product, the new product is ‘owned’ by the Supplier of the document (i.e. invoice or credit note) that is being scanned:

Sometimes it is useful to know how a Product came to exist in our system. As of this month, users can now inspect a Product to see its Creation Method. In the Advanced Tab when viewing a Product, you will find a new Creation Method field:

Above: Viewing the Creation Method of a Product.
The various Creation Methods are as follows:
- Products born via AI Scanning Service (Invoices or Credit Notes) are born with a Creation Method of ai_invoice_line,
- Products born via the REST API will now be born with a Creation Method of api,
- Products born via the Import Product Utility will now be born with a Creation Method of import. This is the creation method that PurchasePlus team members use when uploading a Purchaser’s products in bulk via CSV import.
- Products that are manually created in the User Interface are born with a Creation Method of Manual.
Please Note: Creation Method only began to be recorded in March 2025, so if a product has a blank Creation Method value, there is no way to know its Creation Method.
Add Ingredient to Catalog
Recipes Module users only. There is now an
[Add to Catalog] option on Ingredients within a Recipe.
This can be helpful when a F&B Team Member needs to add a new Ingredient to one of their Recipes, and immediately add it to a Self Managed Catalog for costing reasons.
